Vendor/Trader Terms & Conditions

Please read this document before completing your application form and retain for your information.

1. Exhibitors will not be able to select their pitch position and applications will not be accepted on the condition of a specific location. This is to ensure a good retail mix is achieved.

2. Previous exhibitors will be considered equally on their merits with new exhibitors.

3. Market Opening Hours

  • Saturday: 12pm – 8pm
  • Sunday: 12pm – 7pm
4. Staffing

Applicants must ensure their pitches are staffed at all times. Lateness to arrive and early departure without the express permission of the Organiser will not be permitted.

5. Setting Up and Dismantling Times

Vendors set up time are only between 7am and 11am on the event days.

6. Vehicle Movements on site

These are currently restricted to:

  • 7am – 11am arrival and set-up and 9.00pm-9.30pm (Sat) and 8.00pm -8.30pm (Sun) for departure or by arrangement with the organiser.

The arrival and departure times of each vendor to be confirmed with the Events team.

7. Pitch Boundaries

Exhibitors are required to keep their goods and services within the perimeter of their pitch at all times.

8. Portable Appliance Test Certificates

PAT’s are required from all electrical equipment used by exhibitors. We are legally required to check all electrical equipment is safe. Vendors cannot use electrical equipment without permission from the Organiser and a valid PAT certificate.

9. Exhibitor Parking

Exhibitors will be responsible for making their own parking arrangements. There is ticketed parking in the area but only on a first come first served basis.

10. Insurance

All exhibitors must have public liability insurance up to £2 million pounds. A copy will be required by the 1st July 2018 in order for you to be eligible to exhibit.

11. Indemnity

While the venue will be secure out of hours the organisers will NOT accept responsibility for any loss or damage to exhibitors’ merchandise, property or personal effects left unattended.

12. Waste

All vendors must keep their pitch area clean and tidy at all times. Any rubbish created must be disposed in the refuse bins provided in the event site. Deposits will be taken and will be refunded after the event after an inspection of the vendors pitch. If we have to clean up after a vendor, they will forfeit their deposit.

13. No Alterations or Additions

No drilling of any kind will be allowed. If you wish to use any form of fixings please ask the Organisers for advice. No sticking of any materials or fixings to the grass. Exhibitors will be liable for any damages caused to the venue grass or its furniture.

14. Payment Terms

Payment is made directly to the organisers. If payment has not been received by 10th of July 2018, the application will be cancelled and the pitch rebooked to a vendor on the waiting list.

You can do this by emailing us at vendors@yorubaarts.org If you do not send us these details we will not be able to contact you about your payment if there is a problem.

15. Cancellation Policy

The organisers operate a strict non-refundable payments policy. Please note that once an application has been agreed and accepted PAYMENTS ARE NON-REFUNDABLE.

Should the event be cancelled by the organisers a full refund will be made to the vendor.

16. The Organisers

Reserve the right to object to anything in any way associated with the pitch, the products or services which are not deemed appropriate. Vendors accept that they must rectify any such objection to the satisfaction of the organisers for the benefit of the market or will be ejected from event site.

17. Safety

Exhibitors must comply with all safety announcements and comply with any reasonable request from the organisers and event staff. No naked flames or heat sources are permitted without permission from organisers.

All electrical appliances must be safe, in good state and fit for purpose. They must have a current PAT sticker on the product and the plug. The organisers reserve the right to inspect and remove any electrical items they consider unsafe.
